1. Introduction and acceptance
Welcome to CompsPilot, operated by Ginger Squid Ltd ("we", "us", "our"). These Terms of Service ("Terms") govern your access to and use of the CompsPilot platform, website, and services (collectively, the "Service").
By accessing or using CompsPilot, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not use the Service.
These Terms constitute a legally binding agreement between you and Ginger Squid Ltd. We may modify these Terms as described in section 14.
2. Eligibility
You must be at least 18 years old to create an account and use the Service.
By using the Service, you represent and warrant that:
- you meet the age requirements above;
- you have the legal capacity to enter into these Terms;
- you will provide accurate and complete information when creating an account; and
- you will comply with all applicable laws and regulations.
3. Account registration and security
3.1 Account creation
To access certain features of CompsPilot, you must create an account. You agree to:
- provide accurate, current, and complete information during registration;
- maintain and promptly update your account information;
- keep your password secure and confidential;
- notify us immediately of any unauthorised access to your account; and
- accept responsibility for all activities that occur under your account, except where those activities result from our breach of these Terms or our failure to use reasonable care and skill.
3.2 Account suspension or termination
We may suspend or terminate your account where we reasonably believe that you have materially breached these Terms, used the Service unlawfully or fraudulently, created a security risk, failed to pay sums due after notice, or where we are required to do so by law.
Where reasonably possible, we will give notice and an opportunity to remedy the issue before suspending or terminating access. We may act immediately where necessary to protect users, the Service, our systems, or comply with law.
If we terminate a paid account other than because of your material breach, we will refund any prepaid unused subscription period on a proportionate basis.
You may delete your account at any time through your account settings.
4. Service description
4.1 What we provide
CompsPilot is a competition aggregation and management platform that:
- aggregates and displays information about competitions from various sources;
- provides tools to track, organise, and manage competition entries;
- offers analytics and insights about your competition activity;
- provides an optional Win Scanner to help detect competition win notifications from emails you forward, available on eligible paid plans; and
- provides premium features for paid subscribers.
4.2 Important competition disclaimers
CompsPilot does not run, sponsor, or endorse the competitions listed on our platform. We are an information aggregation service only. You acknowledge and agree that:
- we do not guarantee the accuracy, completeness, or timeliness of competition information;
- we are not responsible for the conduct, terms, or prizes of third-party competitions;
- you must verify all competition details directly with the competition organiser;
- you are responsible for complying with the terms and conditions of each competition; and
- we do not guarantee that you will win any competitions or receive any prizes.
4.3 Win Scanner service
4.3.1 Overview
The Win Scanner is an optional feature available to eligible paid subscribers. It allows you to forward emails from your comping email address to a unique CompsPilot forwarding address, where they are automatically processed to detect competition win notifications and match them to your tracked entries.
The Win Scanner is a supplementary tool designed to assist you in identifying potential win notifications. It is not a substitute for monitoring your own email inbox. You remain responsible for checking your emails, verifying win notifications, and meeting any claim deadlines. You should not rely on the Win Scanner as your only method of detecting wins.
The Win Scanner does not access your email account. It only processes emails that you actively forward to your assigned CompsPilot address. Emails larger than 5 MB are rejected and will not be processed.
4.3.2 How emails are processed
Emails forwarded to your scanner address are received by our mail-handling system and processed in three stages:
- Initial filtering: emails are checked for basic validity, size, spam indicators, and whether the sender appears on your approved-senders list. Emails that fail these checks are discarded without being stored.
- Content filtering: emails that pass the initial check are scanned for keywords and patterns associated with competition win notifications. Emails that do not appear to be competition-related are recorded as non-wins and are automatically deleted after 30 days.
- AI classification: emails that pass both filters are analysed by an AI model to determine whether they appear to contain a genuine win notification. The AI extracts structured information including the competition name, prize description, promoter name, any claim deadline, and any action you may need to take.
4.3.3 What we store
For emails that pass processing, we store:
- the sender's email address;
- the email subject line;
- a short excerpt of the email body;
- message metadata, including approximate size, a message identifier, whether the email contains an unsubscribe link, and the promoter or organiser domain;
- keyword matches and structured data extracted by AI processing, such as competition name, prize description, promoter name, claim deadline and required action;
- the AI classification result and confidence score; and
- the date and time the email was received and processed.
We do not store the full body or attachments of your forwarded emails. Emails rejected on receipt, for example oversized emails over 5 MB or emails from senders not on your approved list, are not stored. Records that are not wins, including non-competition or spam messages and messages we could not classify, are stored only briefly and are deleted as described in section 4.3.9.
4.3.4 Approved senders
You control which email senders are processed by maintaining an approved-senders list within the Win Scanner settings. Only emails from addresses or domains on your approved list are processed beyond the initial filtering stage. You can add or remove approved senders at any time.
4.3.5 Your responsibilities
You are responsible for:
- configuring email forwarding from your email provider to your CompsPilot scanner address;
- only forwarding competition-related emails, ideally from a dedicated comping email address;
- maintaining your approved-senders list;
- not forwarding entire mailboxes, or sensitive, confidential or unrelated third-party information; and
- independently verifying any win notification before taking action, such as claiming a prize or providing personal information to a third party.
The Win Scanner is not designed to process special category data or confidential third-party information. If you forward such information, we may delete it and may suspend or disable scanner processing to protect you and others.
4.3.6 Use of AI and accuracy
The Win Scanner uses artificial intelligence to classify emails and extract data. AI processing is fully automated and may not always be accurate. You should treat AI classifications as informational only.
A classification such as "win confirmed" means the AI believes the email describes a genuine win notification. It does not verify the legitimacy of the competition, the promoter, or the prize, and it does not confirm that any email is authentic. We do not guarantee that all win notifications will be detected, or that all detections will be accurate.
Because the Win Scanner accepts email that you forward, and cannot independently verify who sent a forwarded message, you should always check the original email and the promoter's own instructions before replying, clicking links, paying fees or sharing information. You can delete or report any scanner result at any time. If you believe your scanner address has been misused, contact us and we can issue you a replacement address.
4.3.7 Scanner acknowledgement
When you enable the Win Scanner you will be asked to confirm that you understand and accept the following:
The Win Scanner is an automated tool. It may misclassify emails and does not verify that a message is genuine. I will check the original email and promoter details before acting on any scanner result. I will only forward competition-related emails and will not forward entire mailboxes or sensitive, confidential or unrelated third-party information.
4.3.8 Third-party processing
When you enable the Win Scanner, you request that we process emails you forward to your scanner address for the purpose of providing that feature. Our lawful basis for scanner processing is performance of our contract with you.
Emails forwarded to your scanner address may be processed within our mail-handling and automation environment and by OpenAI, which provides AI-powered classification and data extraction. We do not use scanner emails to train our own AI models. Further detail on providers and international transfers is set out in our Privacy Policy.
4.3.9 Data retention
Scanner records the scanner classifies as a win, including possible wins, are kept until you delete them or your account is closed. All other records, including messages classified as not a win, as spam, or that could not be classified, are automatically deleted 30 days after they are processed. You can delete any individual scanner record at any time through the Win Scanner page, and deletion is permanent.
4.3.10 Controlling and turning off the Win Scanner
You control which emails are scanned through your approved-senders list, which you can change at any time; if you remove all senders, no forwarded emails will be scanned or stored. If you want to stop using the Win Scanner altogether, contact us and we will turn it off for your account. Turning it off stops further scanner processing. Records already stored remain in your account until you delete them or your account is closed.
4.3.11 Limitations
The Win Scanner is designed specifically to detect competition win notifications. It is not a general-purpose email service. CompsPilot:
- does not guarantee detection of all win notifications;
- does not guarantee the accuracy of AI classifications;
- does not verify the legitimacy or authenticity of competitions, promoters, prizes, or forwarded emails;
- may fail to detect, correctly classify or timely process an email, including a genuine win notification; and
- may modify, suspend or discontinue the Win Scanner, or apply reasonable limits including rate limits, to protect the Service from misuse or improve it.
The Win Scanner is an assistive tool and is not a substitute for monitoring your own inbox. Subject to section 9, we are not responsible for losses caused by your failure to check your original inbox or verify scanner results. This does not affect our obligation to provide the Service with reasonable care and skill.
4.4 Household accounts
Certain plans allow you to operate a household account and invite additional members to share access. If you use a household account:
- you are the account holder and are responsible for the use of the account, including activity by members you invite;
- you must only invite members who are eligible to use the Service under section 2, and you are responsible for ensuring they comply with these Terms;
- members may be able to view and manage competition, entry and win information within the household, and you are responsible for deciding whom to invite; and
- if the account holder's account or subscription is cancelled or closed, access for invited members ends and household data is dealt with in accordance with our Privacy Policy.
4.5 Service availability and changes
We aim to provide a reliable service, but we do not guarantee uninterrupted or error-free access. We may make changes to improve the Service, maintain security, comply with law, update features, or protect the Service from misuse.
If a change materially reduces paid functionality, we will give reasonable advance notice where practicable and you may cancel before the change takes effect. Where required by law or fairness, we will provide a proportionate refund for prepaid unused periods.
5. Subscription plans and payments
5.1 Free and paid plans
CompsPilot offers both free and paid subscription plans:
- Free Plan: basic access to competition listings and limited features.
- Plus Plan: enhanced features including analytics, advanced filters, and the Win Scanner.
- Pro Plan: all Plus features plus additional premium features such as household accounts, data export, and priority support.

5.2 Billing and payments
For paid subscriptions:
- payments are processed securely through Stripe;
- you will be charged the subscription fee at the start of each billing period, monthly or annual, and paid plans renew automatically for successive periods unless cancelled;
- all fees are in British Pounds (GBP) and include applicable VAT;
- you authorise us to charge your payment method for fees that are properly due; and
- failed payments may result in suspension or termination of your subscription after notice.
5.3 Price changes
We may change our subscription pricing. If we increase prices, we will provide at least 30 days' notice. The new price will apply from your next billing cycle after the notice period. You may cancel before the change takes effect.
5.4 Cancellation and refunds
You can cancel a paid plan at any time through your account settings. Cancellation outside the statutory cooling-off period takes effect at the end of your current billing period, and you retain access to paid features until then. Please refer to our Refund and Cancellation Policy (https://compspilot.co.uk/refunds) for detailed information about cancelling your subscription and requesting refunds, including your statutory 14-day cancellation rights as a consumer.
6. Acceptable use and user conduct
6.1 Permitted use
You may use CompsPilot for your own personal, domestic and non-commercial comping activity in accordance with these Terms.
6.2 Prohibited activities
You agree not to:
- violate any applicable laws or regulations;
- infringe upon the intellectual property rights of others;
- use automated systems, bots or scrapers to access the Service without permission;
- attempt to gain unauthorised access to our systems or other users' accounts;
- transmit viruses, malware, or other harmful code;
- interfere with or disrupt the Service or servers;
- impersonate any person or entity;
- share your account credentials with others;
- use the Service to spam, harass, or abuse others;
- reverse engineer, decompile, or disassemble any part of the Service except where law permits;
- remove or modify any copyright, trademark, or proprietary notices; or
- use the Service for any illegal or fraudulent purpose.
7. Intellectual property rights
7.1 Our content
All content, features, and functionality of CompsPilot, including text, graphics, logos, icons, images, software, and design, are owned by Ginger Squid Ltd or our licensors and are protected by UK and international intellectual property laws.
7.2 Limited licence
We grant you a limited, non-exclusive, non-transferable, revocable licence to access and use CompsPilot for your own personal use, subject to these Terms. This licence does not include the right to:
- resell or commercially exploit the Service;
- modify, copy, or create derivative works;
- download or copy content except as expressly permitted; or
- use the Service for any competitive purpose.
7.3 User content
You retain ownership of any data or content you submit to CompsPilot. You grant us a limited licence to host, store, process and display your content solely as necessary to provide, secure, maintain and support the Service.
Forwarded scanner emails are processed only as described in the Win Scanner section and Privacy Policy and are not used to train our own AI models.
7.4 Third-party content
Competition information displayed on CompsPilot is sourced from third parties. We do not claim ownership of this content and respect the intellectual property rights of competition organisers and content creators.
8. Service standards and disclaimers
8.1 Reasonable care and skill
We will provide the Service with reasonable care and skill. We do not guarantee that competition information will always be complete, accurate or up to date, or that the Service will be uninterrupted, secure or error-free. Nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015.
8.2 No guarantee of results
We make no guarantees about winning competitions, receiving prizes, or achieving any particular results from using CompsPilot. Success in competitions depends on many factors beyond our control.
8.3 Third-party links
CompsPilot contains links to third-party websites and competitions. We are not responsible for the content, privacy practices, or terms of those third-party sites. You should review the relevant third-party terms and policies before entering a competition or providing information.
9. Liability
9.1 Liability we do not exclude
Nothing in these Terms excludes or limits liability for:
- death or personal injury caused by negligence;
- fraud or fraudulent misrepresentation;
- breach of your statutory consumer rights;
- liability under data protection law that cannot lawfully be excluded or limited; or
- any other liability that cannot lawfully be excluded or limited.
9.2 Losses we are not responsible for
Subject to section 9.1, we are not responsible for:
- indirect or consequential losses that were not reasonably foreseeable;
- loss of profits, revenue, business or business opportunities;
- loss of prizes or competition winnings caused by third-party competition organisers or by your failure to verify competition details;
- losses arising from third-party competitions, websites or organisers;
- losses arising from your reliance on AI-generated classifications, recommendations or data extraction without checking the original source; or
- losses caused by events outside our reasonable control.
9.3 Liability cap
Subject to section 9.1, our total liability to you for all claims arising from or related to the Service shall not exceed the greater of:
- the amount you paid to us in the 12 months preceding the claim; or
- £500.
This cap does not limit any rights you may have under data protection law or consumer law that cannot be limited by contract.
10. Your responsibility for misuse
You are responsible for losses we suffer that arise directly from your deliberate misuse of the Service, unlawful conduct, or material breach of these Terms, but only to the extent those losses are reasonably foreseeable and not caused by our own breach or negligence.
11. Termination
11.1 Termination by you
You may terminate your account at any time by cancelling your subscription through your account settings, deleting your account in the Privacy settings, or contacting our support team.
11.2 Termination by us
We may suspend or terminate your account in the circumstances described in section 3.2. Where reasonably possible, we will give notice before doing so. We may act immediately where necessary to protect users, comply with law, prevent fraud or protect the security and integrity of the Service.
11.3 Effect of termination
Upon termination, your right to use the Service ceases. We will delete or anonymise your data in accordance with our Privacy Policy. Sections of these Terms that by their nature should survive termination will continue to apply. Win Scanner records are dealt with as described in section 4.3.9.
12. Dispute resolution and governing law
12.1 Governing law
These Terms are governed by and construed in accordance with the laws of England and Wales.
12.2 Jurisdiction
If you live in Scotland or Northern Ireland, you may bring proceedings in your local courts. Otherwise, disputes arising from these Terms or your use of CompsPilot will be subject to the courts of England and Wales.
12.3 Informal resolution
Before initiating formal legal proceedings, we encourage you to contact us at support@compspilot.co.uk so we can try to resolve the issue informally.
13. General provisions
13.1 Entire agreement
These Terms, together with our Privacy Policy, Cookie Policy, and Refund and Cancellation Policy, constitute the entire agreement between you and Ginger Squid Ltd regarding the Service.
13.2 Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
13.3 Waiver
Our failure to enforce any right or provision of these Terms does not constitute a waiver of that right or provision.
13.4 Assignment
You may not assign or transfer these Terms or your account without our written consent. We may transfer our rights and obligations to another organisation, but only where this does not materially reduce your rights under these Terms. We will notify you if this happens.
13.5 Events outside our control
We will not be liable for any failure or delay in performing our obligations where that failure or delay is caused by circumstances beyond our reasonable control, including natural disasters, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, pandemics, strikes, or shortages of transportation, facilities, fuel, energy, labour, or materials.
14. Changes to these Terms
We may update these Terms from time to time to reflect changes in our Service, legal requirements, security needs or business operations. We will notify you of material changes by posting the updated Terms with a new "Last updated" date, sending an email notification, or displaying a prominent notice on the platform.
If a change materially reduces your rights or materially affects a paid subscription, we will give reasonable advance notice where practicable. If you do not agree to the changes, you may stop using the Service and cancel your account. Where required by law or fairness, we will provide a proportionate refund for prepaid unused periods.
